What this service is

AI Business OS helps small businesses manage customer conversations, orders, payments and work. It is currently operated as a pilot. Businesses using the platform (“organisations”) control the customer relationships; we process data on their behalf to provide the service.

Data we store

• Account details of business users: name, email address, sign-in credentials.
• Business records the organisation creates: customers’ names and phone numbers, orders, payment records, work and delivery notes.
• WhatsApp messages exchanged between the organisation and its customers, including attachments, so the business can serve its customers from one inbox.
• An audit trail of important actions (who changed an order, verified a payment, etc.) for the organisation’s own accountability.

We never store card or mobile-money credentials — payments are processed by the organisation’s own payment provider (Paystack).

Service providers we rely on

• Supabase (database, authentication, file storage — hosted in London, UK)
• Vercel (application hosting)
• Meta WhatsApp Business Platform (message delivery)
• Anthropic (AI processing of conversation text to draft replies and summaries)
• Resend (transactional email such as sign-in verification)
• Paystack (payment processing, under the organisation’s own account)

How AI is used

Conversation text may be processed by an AI model to summarise threads, suggest replies, and answer routine customer questions using information the organisation has approved. AI never decides payments, permissions or refunds, and organisations control whether automatic replies are on for each conversation.

Retention and deletion

Data is kept while the organisation’s account is active. Organisations can ask us to delete their account and its data; financial and audit records may be retained where the law requires it. We do not sell personal data or use it for advertising.
